We take the issue of data protection and confidentiality very seriously and follow the applicable national data protection regulations. Please read this privacy notice carefully before submitting a report.
Purpose of the whistleblowing system
The purpose of the whistleblower system (BKMS® System) is to receive and process tips about doping violations or criminal behavior in a secure and confidential manner.
Responsible body and data security
The body responsible for data protection of the whistleblower system is NAD GermanyA. The whistle-blower system is operated by a company specializing in this area, Business Keeper AG, Bayreuther Str. 35, 10789 Berlin in Germany, on behalf of NADA Germany. Personal data and information entered into the whistleblower system are stored in a database operated by Business Keeper AG in a high-security data center. Only NADA Germany is allowed to view the data. Business Keeper AG and other third parties have no access to the data. This is guaranteed in the certified procedure by comprehensive technical and organizational measures. All data is encrypted and stored with multi-level password protection, so that access is limited to a very narrow circle of explicitly authorized persons at NADA Germany.
Type of personal data collected
Use of the whistleblower system is on a voluntary basis. If you wish to submit a report via the whistle-blower system, we collect the following personal data and information: - your name, if you disclose your identity, and - if applicable, names of persons and other personal data of the persons you name in the report.
Confidential treatment of tips
Incoming tips are received by a narrow circle of explicitly authorized and specially trained employees of NADA Germany's Legal/Intelligence & Investigations department and are always treated confidentially. The employees of the Legal Department/Intelligence & Investigations examine the facts of the case and, if necessary, carry out further case-related clarification of the facts.
In the course of processing a report or in the course of an investigation, it may be necessary to pass on information to other NADA Germany employees or state investigative agencies for the prosecution of criminal acts. Any person who gains access to the data is obligated to maintain confidentiality.
Retention period of personal data
Personal data will be retained for as long as required for clarification and final assessment. After the conclusion of the whistleblowing process, this data is deleted in accordance with legal requirements.
Use of the whistleblower portal
Communication between your computer and the whistleblower system takes place via an encrypted connection (SSL). The IP address of your computer is not stored during the use of the whistleblower portal. To maintain the connection between your computer and the BKMS® system, a cookie is stored on your computer that only contains the session ID (so-called zero cookie). The cookie is only valid until the end of your session and becomes invalid when you close the browser. You have the option of setting up a protected mailbox in the whistleblower system with a pseudonym / user name and password of your own choice. In this way, you can send reports to the responsible NADA Germany employee by name or anonymously and securely. In this system, the data is stored exclusively in the whistleblower system and is therefore particularly secure; it is not an ordinary e-mail communication.
Notes on sending attachments
When submitting a report or sending a supplement, you have the option of sending attachments to the responsible NADA Germany employee. If you want to submit a report anonymously, please note the following security advice: Files may contain hidden personal data that could endanger your anonymity. Remove this data before sending. If you cannot remove this data or are unsure, copy the text of your attachment to your report text or send the printed document anonymously to the address listed in the footer using the reference number you receive at the end of the reporting process.
